To be a true Canopy Champion, you should know how to use all the uploading tools - including manual uploading, printing, scanning, and migration tools and drives.
Some of these options utilize the Desktop Assistant and Canopy Virtual Drive.
Drag-and-Drop to Upload into Canopy
Uploading documents from your computer to Canopy tends to be quick, which is the main advantage of doing it this way. Every file passes through a virus scan before uploading - it won't upload it if detects a virus!
You drag and drop (or click Upload) your documents from your desktop to the Files tab of the client's record or in the Files module (Client Files, Internal Files, or My Files).
You can drag and drop any of the following:
- Files: You can do them one by one
- Many files: You can snag a couple at once from a local folder

Zipped Folders: Upload a folder from your computer. To do this, you'll need to compress or zip the folder first. You can drag and drop zipped files into Canopy where you can unzip them to view your folder structure.
- Doing this maintains your file structure, including subfolders.
Recall that the max file size is about 5GB (4.999342 GB exactly) per file. Folders that are unzipped cannot be dragged and dropped into Canopy.

- File Type: bmp .csv .doc .docx .emf .eml .heic .htm .html .jp2 .jpeg .jpg .mkv .mov .mp4 .msg .ods .odt .png .ppt .pptx .rtf .tif .tiff .txt .wmv .xls .xlsm .xlsx .xod .xps
- Max File Size: 4.999342 GB
- Folders: Folders must be compressed or zipped. Unzipped folders will not be uploaded.
Using File Migration Applications
Now that you have feel for how the file and folder structures work in Canopy, let's go over applications that help you quickly migrate files and access your desktop files:
- The Canopy Virtual Drive: a desktop drive that is a replica of all of the files stored in Canopy.
- The Desktop Assistant: a tool for files to be printed, scanned, and migrated into Canopy
Access a Mapped Drive with Canopy Virtual Drive
Canopy Virtual Drive allows you to interact with all of your Canopy files directly on your computer. You can drag and drop files into the Virtual Drive to upload them to Canopy, open a file in the program of your choice on your computer to edit them, or create copies of the files on your local hard drive.
It gives you a similar feel of managing and interacting with files and folders on your computer.
You can use Canopy Virtual Drive to:
- Open files stored in Canopy
- Rename files and folders
- Add new files or folders
- Upload or delete documents
- Edit files in their native programs and save them in the drive
- Reorganize files and folders

Note: This feature is ONLY available to Windows users at this time.
Print and Scan Documents with Desktop Assistant
The Desktop Assistant is an application that allows you to print and scan documents from any application on your computer to Canopy. You can select files from your computer and send them to a client's folder in Canopy without navigating back and forth between your local files and your Canopy account.
The File Migration tool in the Desktop Assistant allows you to transfer entire file structures from your PC to Canopy Files.
Whenever you use the Desktop Assistant, remember that it's only used for Client files, not Internal or personal files.
You can also edit files in Canopy using your preferred application on your computer and have the file automatically re-upload to Canopy.

Using Virtual Drive vs. the Desktop Assistant
Each application has strengths to help with your document management needs. Use this table to see what they can do for different situations:

What do we recommend? Both applications have strengths and can be used in different situations, but there is some feature overlap. You can use both!
- The Desktop Assistant is a tool to easily get files from your desktop to Canopy.
- The Virtual Drive could be used for storing everything in Canopy for backup, as well as seeing a mirror image of your file structure on your desktop.
If you have files that you want to move to Canopy, especially at the beginning of the migration, then Desktop Assistant is especially helpful for that.
If you prefer the more natural way of interacting with files and folder structures from a Drive on your Desktop, then Canopy Virtual Drive works well for that.
