Now that you've got a handle on creating Liveboards and Answers, let's go over how to share them with team members.
Sharing Answers & Liveboards
When you save an Answer, only an Admin and you (the creator) have access to it by default. To share with other team members who can benefit from access to your Answers, open the Answer or Liveboard you want to share.
Once you've opened the Answer or Liveboard, select the Share icon on the top right.
You'll see a Share window populate. This is where you can enter the names of a user or group name. You can also click on the search field to populate a list of suggested users and groups to share it with.
Note: Liveboards and Answers are only shareable to users and groups who are within Canopy.
After you select a group or user, it will populate under the search bar. From here, click the dropdown in line with the name to choose if they Can View or Can Edit the shared Answer or Liveboard.
Make sure you have the box checked for Make this Liveboard discoverable if that is what you'd like!
Now click Share and the users and groups listed will receive an email shortly. The email will look something like this!
You can also share Answers and Liveboards in bulk, yay! Select any checkboxes that you'd like in the Home tab of Insights and then click the Share button.
Scheduling Shared Liveboards
At times, you'll want Canopy to share Liveboards with team members. In order to schedule Liveboard Sharing, you must have the Can Schedule For Others permission. Once you have the correct permission, navigate to a Liveboard and select the ellipses icon on the top right.
From the list, select Manage schedules.
Any schedules created will appear in this list. In our scenario, there are no schedules so we will select + Create schedule.
In the window that pops up, you'll see some common and not-so-common fields to fill out.
1. Name and description
- Choose a name for the schedule
- Enter a description if needed. This will be added to the body of an email when it is sent.
2. Frequency
- Choose a cadence (daily, weekly, monthly, etc.)
- Select a time and adjust time zone settings
- Pick a day or days of the week
3. Type
- Select from CSV or PDF
- Toggle on/off Show advanced PDF settings
- Format (Liveboard or Visualizations)
- Layout (Landscape or Portrait)
- Branding (Footer logo and Include page number boxes)
- Footer Text
4. Gating condition
- Click the tooltip icon to view the following message: Conditions for scheduled Liveboards must be written as a boolean statement that returns a single value. When true, the Liveboard will be sent at the scheduled time. For example: sum (revenue) > 100 would be a valid statement, but is_weekend (commit_date) would not.
5. Recipients
- Sharing schedules is only available to users and groups already in Canopy.
Once you've entered the information, select Save.
Now you can see a list of your schedules. To manage a schedule, click on the ellipses icon in line with the listed item. From here you can choose to:
- Pause
- Edit
- View run history
- Delete
